Position Overview:

=

As a Program Assistant for the WIPA Project, you will provide administrative and clerical support to assigned s= taff and programs.

Key Responsibilities:=

Part of your responsibilities will inc= lude:

Maintain extreme confidentiality = of all work related information, and complete intakes (RCIL and SSA/WIPA Project data reporting system)

Compile data to create a variety = of documents

Utilize computer to maintain and update files, logs, lists, spreadsheets, intakes and/or charts

Create and distribute various pro= gram reports including documents and confidential reports=

Responsible for final proofreadin= g of all documents, including the compilation of program and agency reports (formatting, proofing, and distribution)

Answer telephones for the Mid-NY = WIPA Project, and as a backup; connect callers with proper individuals with= in program, answer routine inquires within scope of duties and assignment= s

Complete Mid-NY WIPA Referral form and Assessments (when services are requested)
Prioritize daily work assignments=

Ensure documents submitted in tim= ely manner

Generate correspondence from dictation, machine transcription, email or handwritten drafts (inclusi= ve from webinars and teleconferences)

Draft routine correspondence=

Track timesheets, reimbursements,= and department expenditures; program referral tracking, Case Load tracking= and Monthly Activity Reports

Assist with providing accurate narrative and statistical reports

Assist in preparing for conferenc= es, bulk mailing, workshops or meetings; attend, and take minutes as reque= sted

Schedule meetings and special eve= nts

Provide administrative support to other areas of the organization as needed

File and retain documents and correspondence

Attend monthly Administrative Assistant meetings

Attend Program meetings and requi= ted trainings (as assigned)

Provide backup to receptionists as needed

Other duties as assigned

Required Background:

=

As a qualified candidate, you will hav= e a minimum of a High School Diploma (an Associates is preferred). Five years of work related clerica= l and administrative experience. A combination of education and expe= rience will be acceptable, as well. A valid NYS Drivers License will be required. <= /p>

In addition, you will have a good work= ing knowledge of office machines and online resources (navigating the Internet)= .
